X1 Wins Key Honor at VMworld: 3rd Major Award for 2015

X1 continues to garner widespread acclaim in 2015 for providing enterprise end-users with the fastest, easiest-to-use, cloud-enabled enterprise search software from any device through X1 Search Virtual. Earlier this month, a panel of judges comprised of recognized experts and editors chosen by TechTarget’sSearchServerVirtualization.com, awarded X1 “Best of VMworld 2015Best of VMworld_500Awards Finalist in the Desktop Virtualization and End-User Computing Category. The judges evaluated 153 nominated products on display at VMworld 2015, and based the winners on innovation, value, performance, reliability, and ease of use.

X1 SearchTM Mobile brings X1’s award-winning user interface for desktop search to the mobile device, providing lightning-fast and secure search of email and files while on the go. This means users will no longer settle for the limited, slow and inconsistent “Exchange-only” searches of current smartphones. X1 Search Mobile enables full email (including archived emails) and desktop search from the mobile device, keeping workers productive no matter where they are. Notably, X1 was the only software provider at VMworld 2015 offering enterprise search for virtual environments with real time access from any device. High level discussions with Gartner and other key industry experts and executives confirm that X1 is far ahead of the pack in delivering this unique and disruptive capability.

How disruptive? According to Jack Madden, noted analyst and blogger on enterprise mobility and end-user computing, in a live video interview, “You know what else I like about [X1 Search Mobile] is it can …take the place of enterprise file synch and share products, because that is all your files in the background, and not to mention all your inbox (emails and attachments) and they’re right there, mobile enabled, with a policy around them. There is a lot there.”

This capability is made possible by X1’s virtual “always-on” index enabling access to your files from any device, which is the main use case for Box, Dropbox, and other EFSS tools. But with X1, you also access your emails from the same interface, with built in X1 search and an overall better user experience. And best of, this can all be accomplished through an enterprise’s existing on-premise virtual or private cloud infrastructure.

The 2015 recognition began in April, when Gartner named X1 a Cool Vendor in EndPoint Computing. According to Gartner’s report, “X1 can improve end-user experience on hosted virtual desktops by maintaining Windows and Outlook searches, which are often lost in the transition away from traditional PCs.” Platforms like VDI and DaaS hold great promise, but the user experience with VDI is often sub-optimal, thereby hindering widespread adoption. X1’s recognition by Gartner as a Cool Vendor validates our innovation in cloud and virtual environments, as well as our commitment to provide a stellar end-user experience.

And for the third award, PC Magazine published a very strong product review for X1 Search (version 8).  X1 won the desktop search category with the prestigious “PC Mag Editor’s Choice” designation. Some key takeaway quotes:

  • Basic setup for the program couldn’t be simpler
  • The program’s search capability is impressive, both for its ease of use and its sophisticated features
  • If you can take advantage of X1 Search’s ability to extend its reach to SharePoint or cloud-based email and Box, or make use of its ability to build much more sophisticated search phrases than Lookeen can handle, X1 Search is the obvious choice.

To get three major awards in one year is obviously gratifying and validates that the approach to support enterprise virtualization and mobility through a stellar search experience is a winning strategy to support our customers as they rapidly embrace the next generation desktop. End-User Computing & Search Go Hand-In-Hand

Last week, John Patzakis here at X1 blogged about the VMworld 2014 event and how it has become the Comdex for enterprise IT.  I was at the show and it was very clear that end-users are the future of IT.  The trend has been talked about for quite some time and is commonly called the consumerization of IT.  The heat around that topic has tended to focus on devices and not as much on what is behind information access on those devices.  But, as BYOD takes off and mobility becomes increasingly important, enterprises care more and more about the flow and availability of information.  Why?  Because easy access to information is critical to the end-user acceptance of enterprise IT offerings; when users cannot quickly find what they are looking for, they reject what IT rolls out to them.  Without that end-user acceptance, there is no chance for a positive ROI on any IT project.

End-user experience is so key that VMware has named a division of its company “End User Computing.”  That EUC unit made several major acquisitions in the last year, including Airwatch and Desktone.  This is because technology providers need to win the battle with end-users.  For an example of a company that built its business on the backs of end-users and leveraged those relationships to bully its way into enterprise IT, look no further than Apple.  As VDI users have learned, it is critical to bake search requirements into virtual desktop deployments from the get-go in order to ensure an optimal user experience.  And, as Brian Katz points out in his blog, the same thing will hold true with mobile – usability will be key.  That is why we at X1 are so excited about the future.  X1’s user interface for search is second to none.  And, users actually rave about it.

In my days as an industry analyst, I rarely had technology users raving about the tools they were using.  And, I never ever had an enterprise search user tell me that their solution solved the challenge of finding information quickly.  The rabid users of X1 have been an eye opener for me.  In fact, an X1 customer recently polled its users and virtually every user said that X1 is easy to learn and use (no easy feat for a piece of enterprise software) and over 70% of users described their experience with X1 as very positive or positive.  Those numbers are unheard of in terms of technology satisfaction.

The “Desktop” Of The Future

In talking with a business acquaintance recently, a question came up about the future of desktop search:  what happens when the desktop is no longer the interface of choice for business professionals?  It’s a great question, and one I clearly have a vested interest in given X1’s status as the leading desktop search engine.  The reality is that today’s workers access their information from a variety of interfaces across many devices.  What we need to do is think of the desktop less in a literal sense and more in terms of being a user interface for information.

Since the dawn of the PC, the desktop has been the user interface for most business professionals to access information and do their jobs.  The future of that desktop no longer lies in accessing it on a PC, or even a laptop or mobile device.  Given the speed of innovation, it is useless to try and forecast what the “desktop” will look like beyond a five-year timeframe.  Already, there are stories emerging about the desktop being built into things like tabletop coffee tables.  It is absolutely fun and inspiring to see developments like this and to know we are making forward progress in the tech world.  At the same time, we need to make sure that information – which will be stored in a variety of locations, too – is accessible to the business professional no matter what the desktop looks like in the future.

That is why X1’s Search 8 Virtual Edition is so exciting.  The flagship product, Search 8, represents years of experience providing a beloved user interface to a business profession’s most critical information – email, files, SharePoint, etc.  When the product first came out nearly a decade ago, most of that information was stored locally.  Thus, a local index could live on the desktop and X1 could provide fast-as-you-type search results and filtering on that local index.  Given the evolution of the desktop and the variety of devices accessing that desktop, a local index is not always a possibility.  That’s where Search 8 Virtual Edition comes in.  The client interface is decoupled from the index, which can live anywhere (typically off on a server farm).

This allows IT teams that have invested in desktop virtualization (VDI) to turn off Windows indexing (necessary to save virtual resources) and still provide business professionals the ability to find their information.  Desktop virtualization enables many of the things that businesses value highly – especially security and mobility – and comes in its own variety of flavors.  VDI can be either on-premise and through the Cloud, as Desktop-as-a-service (DaaS).  Increasingly, DaaS offerings such as Amazon Workspaces are becoming more enterprise ready and promise to deliver desktops in a “whenever, wherever” fashion (and, as I’ve posted about before, a good search experience will be crucial to getting the most out of DaaS).

That Search 8 Virtual Edition helps enable an optimal experience with desktop virtualization and DaaS is a great thing, but the value does not stop there.  The same concept – allowing the index to be decoupled from the client interface – will enable great search experiences for mobile, which is the next big stomping ground for enterprise IT.  And, X1 is the only search vendor providing this capability.  We know that the concept of the desktop could live anywhere.  And, our customers want to be able to use X1 Search 8 even if they are unable to have a local index on their machine or device.

The term “desktop search” is already out there and meaningful to many people, so it’s not about changing what we call this market.  Rather, it’s about changing the mindset – realizing that the desktop is not just the screen on your PC, but rather the gateway to all of your important information needed to do your job.

Microsoft’s Lessons for the eDiscovery Industry

Microsoft imageThe announcement that Microsoft CEO Steve Ballmer is set to retire within 12 months naturally spurred some thought on the analogous plateauing or even demise of prominent eDiscovery software firms in recent years. In my view, there are two general lessons to be gleaned by the eDiscovery industry from Microsoft’s troubles.

The first is about the speed of change in this industry. Three years ago, the PC was king and predictive coding was a fairly obscure term. Now, mobile devices, cloud, social media and desktop virtualization have relegated the traditional PC to the road to legacy status. And we all know the story of the tidal wave that is the predictive coding craze of 2013.

And this leads to the second and related lesson, which is the difficulty for dominant companies to stay innovative in such a fast-changing environment. This past week featured a lot of commentary from business and technology pundits, mostly making fairly obvious points about Microsoft missing the boat on smart phones, tablets and the Vista and Windows 8 debacles. But in terms of the bigger picture, I like the analysis from Nobel prize-winning economist Paul Krugman, who summoned wisdom from 14th Century North African philosopher Ibn Khaldun:

“One insight (Khaldun) had, based on the history of his native North Africa, was that there was a rhythm to the rise and fall of dynasties. Desert tribesmen, he argued, always have more courage and social cohesion than settled, civilized folk, so every once in a while they will sweep in and conquer lands whose rulers have become corrupt and complacent. They create a new dynasty — and, over time, become corrupt and complacent themselves, ready to be overrun by a new set of barbarians.

I don’t think it’s much of a stretch to apply this story to Microsoft, a company that did so well with its operating-system monopoly that it lost focus, while Apple — still wandering in the wilderness after all those years — was alert to new opportunities. And so the barbarians swept in from the desert.”

And I think it’s even less of stretch to apply this story to the eDiscovery software industry. For instance, in speaking to a couple of eDiscovery executives last week, they lamented that a dominant review tool his company relies on, had in their opinion become “long in the tooth” with the executives of that software provider no longer very accessible. Another leading eDiscovery software vendor recently launched a major upgrade to their flagship product resulting in palpable user exodus as the new version was much more complex, with a brand new interface that fell flat. Basically straight out of the Windows 8 playbook.  Not be outdone in its loss of focus, a similar and also market leading company now supports, by my count, at least 12 different products and at least 5 different markets.

And I think this trend of disruption is accentuated in the eDiscovery field because even the dominant players do not have several million in idle funds for research and development into cutting-edge technologies that will not produce meaningful revenue in the near term. Instead, they have to answer to investors of various stripes who demand that quarterly revenue numbers and positive near term cash flow are met. It’s the classic innovators dilemma.

What this means for key buyers of eDiscovery software is that they should be open to change and consider avoiding lock-in with seemingly dominate vendors who could only be months away from being displaced by the barbarians from the desert.

No Legal Duty or Business Reason to Boil the Ocean for eDiscovery Preservation

As an addendum to my previous blog post on the unique eDiscovery and search burdens associated with the de-centralized enterprise, one tactic I have seen attempted by some CIOs to address this daunting challenge is to try to constantly migrate disparate data from around the globe into a central location. Just this past week, I spoke to a CIO that was about to embark on a Quixotic endeavor to centralize hundreds of terabytes of data so that it could be available for search and eDiscovery collection when needed. The CIO strongly believed he had no other choice as traditional information management and electronic discovery tools are not architected and not suited to address large and disparate volumes of data located in hundreds of offices and work sites across the globe that all store information locally. But boiling the ocean through data migration and centralization is extremely expensive, disruptive and frankly unworkable.

Industry analyst Barry Murphy succinctly makes this point:

Centralization runs counter to the realities of the working world where information must be distributed globally across a variety of devices and applications.  The amount of information we create is overwhelming and the velocity with which that information moves increases daily.  To think that an organization can find one system in which to manage all its information is preposterous. At the same time, the FRCPs essentially put the burden on organizations to be accountable for all information, able to conduct eDiscovery on a moment’s notice.  As we’ve seen, the challenge is daunting.

As I wrote earlier this month, properly targeted preservation initiatives are permitted by the courts and can be enabled by effective software that is able to quickly and effectively access and search these data sources throughout the enterprise.  The value of targeted preservation was recognized in the Committee Notes to the FRCP amendments, which urge the parties to reach agreement on the preservation of data and the keywords used to identify responsive materials. (Citing the Manual for Complex Litigation (MCL) (4th) §40.25 (2)).  And In re Genetically Modified Rice Litigation, 2007 WL 1655757 (June 5, 2007 E.D.Mo.), the court noted that “[p]reservation efforts can become unduly burdensome and unreasonably costly unless those efforts are targeted to those documents reasonably likely to be relevant or lead to the discovery of relevant evidence.”

What is needed to address both eDiscovery and enterprise search challenges for the de-centralized enterprise is a field-deployable search and eDiscovery solution that operates in distributed and virtualized environments on-demand within these distributed global locations where the data resides. This ground breaking capability is what X1 Rapid Discovery provides. This enables globally de-centralized enterprises to finally address their overseas data in an efficient, expedient, defensible and highly cost-effective manner.

But I am interested in hearing if anyone has had success with the centralization model. In my 12 years in this business and the 8 years before that as a corporate attorney, I have yet to see an effective or even workable situation where a global enterprise has successfully centralized all of their electronically stored information into a single system consisting of hundreds of terabytes.
